How to Explain an Employment Gap on a Resume

Employment gaps are ordinary. Layoffs, caregiving, illness, study, relocation, a failed startup, a sabbatical: most careers have at least one, and recruiters see them every day. What raises a flag is not the gap but the way it is handled: dates removed to hide it, a functional format that obscures the timeline, or an unexplained hole that the recruiter has to guess about. A gap stated plainly in one line is closed before it becomes a question.

This guide covers when a gap needs explaining, how to word the common reasons, and the formatting that keeps a gap in proportion.

When a Gap Needs Explaining

  • Under about six months: usually not. Month and year dates make short gaps visible and unremarkable. A gap between a job ending in March and the next starting in July is normal job-search time.
  • Six months to two years: explain in one line in the resume, so the recruiter is not left to guess.
  • Over two years, or recent: explain in the resume and expect to discuss it in the interview. Show what you did during it if anything is relevant.

Gaps more than ten years old rarely matter. Recent gaps matter most.

Do Not Hide It

Two techniques backfire. Removing months and using years only ("2021 – 2023") is recognised immediately and reads as concealment. A functional resume that groups skills without dates is read the same way, and it parses badly in applicant tracking systems because there is no timeline to extract. Keep month and year dates on every role, and let the gap show.

One-Line Explanations That Work

Put the gap in the experience section as its own entry, with dates, so the timeline stays continuous. Keep it factual and short.

Caregiving:

Career break for family caregiving · Jan 2023 – Aug 2024 Full-time care for a family member; maintained PMP certification and completed a data analytics certificate (Google, 2024).

Layoff:

Position eliminated in a company-wide restructuring (40% reduction) · Nov 2024 Job search and freelance consulting; two contract projects listed below.

Health:

Medical leave · Mar 2024 – Oct 2024 Fully recovered and cleared to return to work.

No detail beyond that is required, and none should be asked for.

Study:

Full-time study · Sep 2022 – Jun 2024 MS Data Science, University of Washington (listed under Education).

Relocation or visa:

Relocation to the United States · Feb 2025 – Jun 2025 Work authorisation obtained June 2025; no sponsorship required.

Sabbatical or travel:

Planned sabbatical · Jul 2023 – Jan 2024 Extended travel; completed AWS Solutions Architect certification during this period.

Startup or self-employment:

Founder, Northwind Meal Kits · Mar 2022 – Dec 2023 Built and ran a direct-to-consumer subscription business to $400K revenue and 1,100 subscribers; wound down after failing to reach unit economics. List as a job with results, because it was one.

Show the Gap Was Not Empty

Anything relevant done during a gap belongs on the resume: certifications, courses, freelance or contract work, volunteering with a real role, open-source contributions, a portfolio built. These do not need to fill the gap; they show that the skills were maintained.

Keep the Gap in Proportion

The gap gets one or two lines. The roles around it get the full treatment: scope, results, numbers. A resume where the strongest bullets are on the most recent role reads as a capable candidate who had a gap, not as a gap with a candidate attached. The bullet-writing guide covers the format.

Currently in a Gap

If you are applying during a gap, the top of the resume should reflect it honestly without apology: the most recent role with its end date, then the summary stating what you do and what you are looking for. Do not write "Present" on a role that has ended. If you are freelancing or consulting, list it as the current role with dates and any client results.

The Interview Question

Prepare a two-sentence answer: the reason, and what you are ready for now. "I took eighteen months to care for my father, who has since passed. I kept my certification current, finished a Google analytics course, and I'm fully available." Then move on. Recruiters follow your lead; a candidate who treats the gap as a fact is treated the same way.

What Not to Do

  • Delete dates or use years only.
  • Use a functional resume.
  • Write a paragraph. One or two lines.
  • Invent a role or extend an end date. Background checks verify employment dates.
  • Over-explain health or family circumstances. Employers may not ask and you need not tell.

Templates That Parse Cleanly

Harvard Resume Template: the single-column academic-standard layout and the most downloaded template on CVEdge. Set it to Letter and it is the safest US default.

Classic Resume Template: standard headings, no graphics, parses cleanly in Greenhouse, Workday, Lever and iCIMS.

Executive Resume Template: for senior candidates who need the summary and leadership scope to land before the role history.

Frequently asked questions

Do I have to explain a gap on my resume?

Gaps under six months usually need no explanation. Longer or recent gaps should get one factual line with dates in the experience section, so the recruiter does not have to guess.

Should I remove dates to hide a gap?

No. Years-only dates and functional formats are recognised as concealment and parse badly in applicant tracking systems. Keep month and year on every role.

How do I list a career break for caregiving?

As an entry with dates: "Career break for family caregiving, Jan 2023 – Aug 2024", plus one line on anything relevant you did, such as a certification kept current.

Will a gap stop me getting past the ATS?

No. Applicant tracking systems parse dates and roles; they do not score gaps. The gap is assessed by the recruiter reading the profile, and a stated reason resolves it.
